Many association meeting professionals and leadership focus most of their hotel contract negotiations on critical clauses such as force majeure and attrition. However, some of the disruptions associations encounter arise from clauses that receive far less attention.
Experienced planners know that a successful event depends on more than protection against cancellation and liability. A well-negotiated hotel contract should also preserve your attendees’ experience and group’s financial predictability and reduce any ambiguity if a situation arises.
Here are 5 often-overlooked contract clauses that deliver value to the association and protect against real-world risks before they become problems that need to be solved.
Rate Integrity and Hotel Audit Rights
Why it matters: Attendees expect the association to secure the best available room rates. Additionally, attendees do still occasionally book outside the official room block through alternate booking channels. A strong rate clause ensures the integrity of your rate and that those room nights are still credited toward the group’s performance whenever possible.

- Protect against publicly advertised lower rates
- Triggers and access to lower qualifying rates

Relocation (Walk) Protection
Why it matters: Hotels frequently operate at or near max occupancy. While maximizing revenue is the goal, oversold situations can result in your attendee being relocated to another hotel. Most often an attendee’s first interaction onsite for your event is when they check into their hotel upon arrival. Imagine the impression an attendee has when they arrive and discover there is no hotel room available to check into.
